Terms of Service

1. Agreement

These Terms of Service ("Terms") govern access to and use of ParlourPilot ("Service"), operated by ParlourPilot. By accessing or using the Service, you agree to these Terms. If you do not agree, do not use the Service.

2. The Service

ParlourPilot provides cloud-based business management software designed for beauty, wellness and personal-care businesses. Depending on the subscription and features used, the Service may include:

  • Billing and POS
  • Appointments
  • Customers
  • Memberships
  • Staff management
  • Attendance and leave
  • Payroll and salary management
  • Commission and incentives
  • Inventory
  • Expenses
  • Reporting
  • Multi-branch management
  • Web access
  • Mobile access

Feature availability may change as the Service evolves, subject to these Terms and applicable subscription terms.

3. Account Registration

Customers must provide accurate information when creating an account. The account owner is responsible for maintaining accurate account information; protecting login credentials; controlling access to authorized users; and ensuring users under the account comply with these Terms.

4. One Business Account / Tenant

ParlourPilot accounts are organized around a business/tenant. The customer may create authorized users and branches according to the applicable subscription entitlement. Users may receive different permissions according to their role and branch access.

5. Free Trial

Eligible new accounts may receive a 15-day free trial. The trial plan selected during signup determines the initial entitlement.

  • Starter trial: 1 branch, 10 total user accounts including the Owner, all included features, web + mobile access.
  • Growth trial: 3 branches, 30 total user accounts including the Owner, all included features, web + mobile access.

Additional Branch add-ons are not available for purchase during the trial unless explicitly enabled by the applicable commercial terms. Trial terms may be changed prospectively for future signups.

6. Subscription Plans

Current subscription structure (all prices in INR):

  • Starter — ₹999/month or ₹9,999/year — 1 branch, 10 total user accounts including the Owner, all features, web + mobile access.
  • Growth — ₹2,499/month or ₹24,999/year — 3 branches, 30 total user accounts including the Owner, all features, web + mobile access.
  • Additional Branch Add-on — ₹888/month or ₹8,888/year — each active add-on provides +1 branch and +10 user accounts.

Additional Branch is an add-on to an existing eligible subscription and is not a standalone base plan. All subscription prices are charged in INR. Applicable taxes, fees or other charges will be shown where applicable.

7. User and Branch Entitlements

The Owner account counts toward the total user entitlement. For example, Starter provides 10 total users (Owner + up to 9 additional users) and Growth provides 30 total users (Owner + up to 29 additional users).

Additional Branch add-ons increase tenant capacity by +1 branch and +10 total users each. User capacity is tenant-wide and is not automatically divided equally between branches.

8. Billing and Automatic Renewal

Subscriptions are billed in advance on a monthly or yearly basis. The subscription automatically renews according to the selected billing interval unless cancelled or otherwise terminated.

Current renewal pricing is based on the base subscription plan, the billing interval, and any active Additional Branch add-ons. An Additional Branch add-on is billed separately and contributes its own recurring charge. All charges are processed through the applicable payment provider.

9. Payment Failures

If a payment fails, access may be affected in accordance with the subscription's payment status and applicable grace/retry policies. Customers remain responsible for outstanding amounts. ParlourPilot may suspend or restrict paid features where required by an overdue account or applicable billing policy.

10. Cancellation

Customers may cancel according to the controls available in Subscription & Billing. Unless otherwise stated: cancellation stops future renewal; the current paid period normally remains active until its scheduled end; and cancellation does not automatically delete business data. Refunds are governed by the Refund Policy.

11. Plan Changes

Customers may be able to upgrade, downgrade or add capacity according to the available billing options. Where a downgrade would leave the account above the new plan's entitlement, ParlourPilot may prevent the downgrade until the customer reduces usage or removes applicable add-ons. ParlourPilot will not automatically delete branches, users or business records solely to force an account into a lower plan.

12. Customer Data

Customers retain their rights in the business data they enter into ParlourPilot, subject to rights necessary for ParlourPilot to provide the Service. Customers are responsible for the accuracy of data; lawful collection/use of information; authorization to provide employee/customer information; and compliance with applicable laws.

13. Acceptable Use

You must not:

  • use the Service for unlawful purposes;
  • attempt unauthorized access;
  • interfere with the Service;
  • reverse engineer the Service except where legally permitted;
  • introduce malicious code;
  • abuse APIs or authentication mechanisms;
  • use another user's credentials without authorization;
  • attempt to circumvent subscription or access controls.

14. Service Availability

ParlourPilot is provided as a cloud-based service. We will make commercially reasonable efforts to keep the Service available, but we do not guarantee uninterrupted or error-free availability unless expressly agreed otherwise in writing. Planned maintenance, third-party outages, infrastructure failures and circumstances outside reasonable control may affect availability.

15. Third-Party Services

The Service may integrate with or depend on third-party services such as payment, email, hosting or other infrastructure providers. Third-party services are subject to their own terms and policies. ParlourPilot is not responsible for third-party failures outside its reasonable control.

16. Intellectual Property

The ParlourPilot software, branding, website, interface, documentation and related materials are owned by or licensed to ParlourPilot and protected by applicable intellectual-property laws. Except for rights expressly granted under these Terms, no ownership rights are transferred to the customer. Customer business data remains the customer's data.

17. Suspension and Termination

ParlourPilot may suspend or terminate access where reasonably necessary for material violation of these Terms; unlawful or abusive use; security threats; non-payment; fraud; or conduct that creates material risk to the Service or others. Where appropriate, ParlourPilot may provide notice and an opportunity to remedy the issue.

18. Data After Cancellation

Cancellation or expiration does not automatically mean immediate deletion of customer business data. Data may be retained for a reasonable period subject to applicable law, operational requirements and the Privacy Policy. Where deletion is required or requested, applicable retention obligations and backup processes may affect timing.

19. Disclaimer

To the maximum extent permitted by applicable law, the Service is provided on an "as is" and "as available" basis. ParlourPilot does not guarantee that the Service will meet every individual business requirement or operate without interruption or errors.

20. Limitation of Liability

To the maximum extent permitted by law, ParlourPilot will not be liable for indirect, incidental, special, consequential or punitive damages arising from use of the Service. These limitations are subject to rights or liabilities that cannot legally be excluded or limited.

21. Indemnification

To the extent permitted by applicable law, customers may be responsible for claims arising from their misuse of the Service; violation of these Terms; unlawful use of customer/employee data; or infringement arising from content they provide.

22. Changes to the Service

We may modify, improve or discontinue features from time to time. We will make reasonable efforts to avoid materially disrupting core paid functionality without appropriate notice where required.

23. Changes to These Terms

We may update these Terms from time to time. The updated version will be posted with a revised "Last updated" date. Where required by law or the nature of the change, additional notice may be provided.

24. Governing Law and Jurisdiction

These Terms are governed by the laws and subject to the jurisdiction of the courts applicable to the legal entity that operates ParlourPilot. The specific governing law and jurisdiction will be confirmed by the company's legal advisor and stated here.
